Administrative Regulation AR 6153.1 Instruction
Out-Of-State Field Trips 1. All requests for approval of school and/or district-sponsored out-of-state field trips shall be submitted to the Superintendent and Board of Education at least two months in advance of the scheduled departure date.
2. The Board encourages all trips to be a maximum of three school days.
3. Included in the request, which shall be placed in writing and which shall be forwarded under the recommendation of the site principal, shall be the following:
a. A detailed description of the proposed trip, including the dates and destination.
b. The specific rationale for the trip, as opposed to participation in any comparable events/activities scheduled in closer proximity to the school.
c. The number and, if possible, the names of the certificated and other adult chaperones to be involved in the trip. A minimum of two chaperones are required for out-of-state field trips.
d. The projected number of students to be involved in the trip.
e. A statement of the projected maximum costs to be borne by the individual student and his/her family.
f. A statement of the projected revenues to be derived from fund-raisers and a specific listing of projected fund-raising activities.
g. An indication of the most recent involvement of the group in question in the proposed trip or some comparable activity/event, if any.
h. A statement of how any student hardship cases, based on financial inability to pay the proposed costs, will be handled.
i. Additional information in relation to the criteria for approval, as spelled out in BP 2154.
4. As a condition of participation in an out-of-state field trip, the student and his/her parent/guardian shall, prior to the departure date, file a signed copy of Pupil Field Trip Permission Slip and Medical Authorization Form # with the school. The parent/guardian signature shall be affixed to the form in the presence of the principal or his/her administrative designee.
